I'm Keith Greer, and today we're talking about something that could be a real game changer for your organization how to tap into the full potential of ChatGPT beyond just basic messaging. Now, I know a lot of us think of ChatGPT as a handy tool for quick responses or drafting an email, but what if I told you it could help us do so much more? We're talking about automating data tasks, brainstorming new fundraising ideas, even mapping out strategic plans. This episode is all about thinking outside the box and leveraging ChatGPT in creative ways that could transform how your organization operates. I know in the nonprofit world, we're often trying to stretch every dollar, every resource and every minute of our day, so today's episode is about showing you how ChatGPT can be one more tool in your toolkit, helping you streamline processes, generate fresh ideas and find efficiencies that free you up to focus on what really matters driving your mission forward. Whether you're just curious or already a little familiar with AI tools, I think you'll walk away from this episode with some fresh, actionable ways to maximize ChatGPT's potential for your work.

Keith Greer, CFRE:

So let's talk fundraising, let's talk fundraising, all right. So let's kick things off with a quick refresher on what ChatGPT actually is. Chatgpt is a type of AI language model, which means it's designed to understand and generate text that sounds remarkably human. You can ask it a question, give it a task or even just start a conversation, and it'll respond in a way that feels natural and engaging. Now, most people know ChatGPT as a helpful assistant for drafting emails, answering FAQs or maybe creating some social media posts and yeah, it's fantastic at all of that. But what's exciting and what we'll dive into today, is how ChatGPT can help with so much more than just those surface-level tasks. It's capable of doing a lot of the heavy lifting behind the scenes, especially for fundraisers and nonprofit teams, who need to maximize their time and their resources.

Keith Greer, CFRE:

Let me give you an example and their resources. Let me give you an example. Picture this Instead of just answering donor emails or crafting appeal letters, what if ChatGPT could actually help you manage complex data tasks or develop strategic plans? That's right. It can assist with everything from building intricate Excel formulas to developing dashboards tailored to your metrics and even brainstorming innovative fundraising ideas. There's so much untapped potential here. Today, I'm here to challenge you to look at ChatGPT as more than just a virtual assistance for surface-level communication. It can actually be a strategic ally, helping you make smarter data-driven decisions, streamline daily processes and focus more on the big picture work that fuels your organization's mission.

Keith Greer, CFRE:

All right, so let's talk data, specifically how ChatGPT can take some of the tedium out of managing and analyzing it. If you've ever spent hours in a spreadsheet trying to figure out a formula or pulling together reports, you know that data work can be a huge time sink. But here's the thing ChatGPT can actually help you with a lot of that heavy lifting, especially when it comes to building out Excel sheets or Google sheets. Let's start with spreadsheet creation. Imagine being able to tell ChatGPT, in plain English, something like create a formula to calculate the average donation per month, but exclude any amounts below $10. It'll generate the formula for you. No need to be a math whiz or remember every Excel function. And that's just one example. You can even ask it to create multi-page workbooks that track different metrics like donor retention rates, monthly revenue or even event attendance. This can give you a more organized, holistic view of your fundraising efforts without all of the manual setup.

Keith Greer, CFRE:

But let's take it up a notch, because spreadsheets are one thing, but what if you want a dynamic dashboard that gives you and your team a visual snapshot of what's going on? Chatgpt can help you outline what that dashboard could look like for different audiences. Maybe your board wants to see high-level trends, like annual revenue growth, while your development team needs a deeper dive into donor demographics or campaign-specific results. Demographics or campaign-specific results you can ask ChatGPT for the structure and it'll suggest fields, formulas and even potential visualizations that make your data easy to understand at a glance. Plus, it can streamline data entry, suggesting ways to auto-populate fields across different reports. For example, if you need data from your CRM to appear in your monthly finance reports, chatgpt can help you set up the formulas or your import functions needed to make that happen automatically.

Keith Greer, CFRE:

And what about accuracy? We'd all know how crucial it is to make sure our data is correct, especially when it comes to reporting revenue, donor information or financial metrics. Chatgpt can actually serve as a bit of a proofreader for your data. Let's say you have complex calculations across multiple sheets. You can have ChatGPT review the logic behind those calculations, making sure they're structured properly to avoid errors. It can even help you set up consistency checks to make sure your data entries align across reports and databases. This not only saves time, but helps prevent those last-minute panic moments where you're getting ready to present data to leadership or the board. So, to sum it up, chatgpt can help automate the manual, repetitive tasks involved in data management From creating complex spreadsheets to designing interactive dashboards, to double-checking data accuracy. Imagine freeing up hours each week just by streamlining these tasks. That's time you can now spend on outreach strategy or connecting with your donors things that actually drive your mission forward.

Keith Greer, CFRE:

Now let's talk strategy. Strategic planning is one of those tasks that can feel overwhelming, especially if you're juggling multiple programs, campaigns and limited resources. But here's where ChatGPT can step in and lighten the load. Imagine having a brainstorming partner who never gets tired and is ready to throw ideas around at any hour of the day. First, let's look at developing a strategic plan. Say, you want to map out organizational goals for the next year. You can prompt ChatGPT with something as simple as outline a strategic plan with goals and objectives for a non-profit focused on youth literacy. It can give you a structured outline that includes objectives, potential milestones and even some measurable KPIs. It's like having a rough draft at your fingertips, saving you time and helping you dive right into the details that matter. Chatgpt can even help generate SWOT analysis. You can ask for strengths, weaknesses, opportunities and threats specific to your sector or even your organization's focus area. For instance, if you're a nonprofit working on climate change, chatgpt can provide insights on emerging opportunities, such as partnerships with eco-conscious companies, or threats like fluctuating environmental policies. This added layer of detail can help you see new angles and consider factors you may not have even thought about before.

Keith Greer, CFRE:

And now on to one of my favorite uses fundraising brainstorming. We all know that fundraising events and campaigns can start to feel well recycled, but a chat GPT is like a creative spark on demand. You could ask it for 10 unique fundraising event ideas for an animal shelter or new donor engagement strategies for a healthcare nonprofit, and it'll give you a list of concepts. You might get ideas like a puppy prom event where donors can bring their pets, or sponsor a sanctuary day where donors fund a day's worth of care. It's a great way to jumpstart creative thinking, giving you fresh ideas to refine and make them your own. And speaking of refining, chatgpt can also help with your mission and vision statement. Maybe you're an organization that's grown and evolved and your current mission doesn't quite reflect who you are today. By feeding ChatGPT some keywords and ideas about your work and values, it can help you shape a mission statement that feels current and inspiring. You can even ask it to suggest ways to align your values with actionable goals, turning those ideals into clear, practical plans. So, from big picture planning to detailed campaign ideas and even mission refinement, chatgpt can be a valuable ally. It can help you move past the blank page, getting you to the heart of what you want to achieve and sparking new directions for growth.

Keith Greer, CFRE:

All right, so we've covered strategy and creativity, but let's be honest non-profit life comes with plenty of administrative tasks too, and while those tasks might not feel as exciting, they're essential to keeping the wheels turning smoothly. So how can ChatGPT help here? Let's talk about streamlining some of those nitty-gritty day-to-day processes that eat up so much time. Let's start with policy and procedure drafting. Every nonprofit needs clear, consistent policies, whether it's around finance, hr or volunteer contact. But writing policies from scratch, it can be time-consuming. Chatgpt can help by creating templates for these policies. Let's say you need a template for remote work policy or a social media usage policy. You can ask ChatGPT to draft a structure, even including sections you might not have thought of, like approval processes or guidelines for different departments. This can be especially helpful for standardizing procedures across teams, making sure everyone has a clear understanding of how things work.

Keith Greer, CFRE:

Now on to volunteer management. Volunteers are the backbone of so many nonprofits, and making sure they're well-supported is key. Chatgpt can help create onboarding materials and training guides that are customized for your organization. For instance, you can provide ChatGPT with some key points about your organization's mission and values, and it can generate a welcome guide for new volunteers. It can even suggest modules for specific training areas, like safety protocols for event volunteers or guidelines for working with sensitive populations.

Keith Greer, CFRE:

And let's talk about scheduling. Coordinating with volunteers on shift times, locations and expectations can quickly get complicated. Chatgpt can help you build automated scheduling templates or email responses. Catch EPT can help you build automated scheduling templates or email responses, saving you the time it takes to manually send reminders or answer the same question again and again. Think of it like having a virtual assistant that keeps your volunteers informed and engaged without needing your constant input. And then there's project management a beast of its own, if you've ever tried to juggle multiple initiatives at once, you know how helpful a good checklist can be. Chatgpt can generate step-by-step checklists and timelines tailored to your project, whether it's an annual gala, a holiday giving campaign or a community outreach initiative. Just describe the project and it'll suggest tasks and deadlines to keep everything on track. And if your team is larger, chatgpt can even help you organize task assignments and follow-ups. You can ask it to outline communication templates for status updates or reminders, so you don't have to create them from scratch every time.

Keith Greer, CFRE:

With these tools at your disposal, chatgpt can make a real difference in simplifying administrative tasks. I mean, think about it More time saved on the routine work means more time spent on the impactful work, whether that's building donor relationships, working on programs or planning your next big campaign. So let's dive into one of ChatGPT's strengths that can make a big difference for nonprofits research and knowledge gathering. And I don't know about you, but when it comes to staying on top of lengthy reports or complex documents, it's easy to feel overwhelmed. Here's where ChatGPT can step in to lighten the load and save you hours of time.

Keith Greer, CFRE:

Let's start with summarizing complex information. Imagine you got a 30-page annual report or a dense research paper filled with technical terms and industry jargon. You can copy the text or sections into ChatGPT and ask it to condense the main points into a one-page summary. Better yet, if you need to share this with your board or stakeholders, you can ask ChatGPT to translate the language into something more accessible. So, instead of wading through pages of data, you get concise takeaways that everyone can understand.

Keith Greer, CFRE:

Now let's talk about grants. Identifying grant opportunities can be a huge task, especially with so many potential funders out there and the constant changes in eligibility and priorities. You could ask CHAT GPT to help compile a list of potential funders that fit specific criteria say, foundations that focus on youth services or those interested in environmental projects on youth services or those interested in environmental projects. It can even help you create a table of application deadlines, requirements and contact details. No more balancing between multiple websites or databases. Chatgpt can bring all that information into one place, organized and ready for action. This also extends to breaking down the application requirements themselves. Say, you're looking at a grant application with a long list of instructions. You can paste them into ChatGPT and ask it to pull out the essential steps.

Keith Greer, CFRE:

Helping you keep your focus on what's most important and staying current is just as crucial in today's fast-changing nonprofit landscape. Chatgpt can be a valuable tool for gathering insights or industry trends. You can prompt it to search for emerging best practices or summarize articles on topics like donor engagement or digital fundraising. Maybe you're interested in learning about changes in donor behavior, like how younger donors are interacting with nonprofits or how trends in corporate social responsibility are evolving. Chatgpt can bring these insights together, helping you stay informed without needing to sift through tons of different resources. So, whether it's summarizing dense reports, finding the best grant opportunities or keeping up with what's new in the field, chatgpt can be an invaluable partner in your research process. Imagine having all that knowledge readily available, organized and easy to digest. It's like having your own personal research assistant. Now, as exciting as all of these capabilities are, let's take a moment to talk about ethics and best practices when using AI tools like ChatGPT.

Keith Greer, CFRE:

As fundraisers and nonprofit professionals, we work with sensitive information, whether that's donor data, financial reports or project details, so it's crucial to remember that, while ChatGPT is a powerful tool, we should never input personal or sensitive information into it. Think of it like any other third-party service. Protecting your data and your donors' data should always come first, be sure to stay up-to-date on regulations like GDPR or any privacy laws that apply to your organization's work. Then there's the role of human oversight. Chatgpt can do a lot, but it is not perfect. Reviewing everything it generates is essential, especially when using AI-generated content and public-facing materials. Automation can save time, but the human touch is what keeps our work authentic and mission-driven, whether it's fact-checking, refining tone or ensuring that message resonates with your audience. Adding that personal layer keeps your communications true to your organization's voice.

Keith Greer, CFRE:

And finally, responsible AI use goes beyond just using the tool. It's about how we integrate it into our workflows. Transparency is key. If AI played a role in creating content or generating reports, it's a good practice to be open about that and, as nonprofit professionals, promoting equitable and inclusive practices should always be front of mind. This means being mindful of language assumptions and accessibility in any AI-generated material. So, in a nutshell, use AI to enhance your work, but keep it aligned with your organization's ethical standards.

Keith Greer, CFRE:

With a bit of caution and oversight, chatgpt can be a powerful tool without compromising on privacy, transparency or inclusivity. So there you have it. I encourage you to get creative and experiment with ChatGPT in new areas, whether you're brainstorming fresh fundraising ideas, automating data tasks or developing strategic plans. Chatgpt has the potential to open up a whole new world of efficiency and inspiration for your organization. Thank you so much for tuning in today.
